Microsoft 365 Copilot agents dynamically reflect updates such as new suggested prompts. When an agent is updated, users who already have the agent installed do not need to reinstall or have the agent reshared. Instead, the updated configuration becomes available when the agent is used again.

Suggested prompts are surfaced when a user interacts with the agent. Therefore, once Ben Smith issues any prompt to Agent1, the agent session refreshes and displays the latest suggested prompts, including the newly added one.

Stopping and resharing the agent (Option A) or reinstalling it (Option B) is unnecessary overhead. Option D refers to a non-standard command and is not part of Microsoft Copilot functionality.

Thus, the correct action is simply to have the user interact with the agent again.

Microsoft 365 Copilot follows Microsoft’s Responsible AI principles and enforces strict content safety policies. When a prompt violates safety guidelines—such as containing harmful, abusive, illegal, or restricted content—the system may refuse to generate a response. The refusal message shown is consistent with safety filtering behavior.

Generative AI systems include moderation layers that evaluate prompts before generating output. If the prompt is classified as unsafe or non-compliant with policy, Copilot blocks the request and encourages the user to try a different topic.

A vague prompt typically results in a generic or clarifying response rather than a refusal. There is no fixed limit of five requests per prompt. Exceeding the context window usually results in truncation or processing errors, not a safety-based refusal message.

Therefore, the most likely cause of the response is that the prompt contains language that violates safety guidelines.

Microsoft 365 Copilot operates within enterprise governance and compliance controls. For conversation history, tenant administrators can configure retention and deletion policies. Therefore, users can delete conversation history only if allowed by administrative policy, making Statement 1 correct.

Deleting a Copilot conversation removes the chat interaction but does not delete underlying source files such as documents stored in SharePoint or OneDrive. These files are governed independently by Microsoft 365 storage and retention policies. Hence, Statement 2 is incorrect.

When a Copilot agent is uninstalled, it removes access to the agent interface but does not delete previously generated conversations. Conversations are stored as part of user activity history and remain available unless explicitly deleted (subject to policy). Therefore, Statement 3 is correct.

Thus, the correct responses are Yes, No, Yes .

Microsoft 365 Copilot does not train the underlying large language model on your organization’s tenant data. Instead, it uses your organization’s data at run time to ground responses (for example, by retrieving relevant emails or documents you have permission to access). This separation protects confidentiality and supports enterprise compliance.

If a mailbox (or specific folders) is shared with you and your account has the required permissions, Copilot can summarize emails from that shared content because Copilot respects Microsoft 365 access controls (“permission trimming”).

Copilot also relies on Microsoft 365’s established security and compliance framework—identity, permissions, and policy enforcement—so it only surfaces content you’re authorized to see. This ensures Copilot’s outputs remain aligned with organizational governance, information protection, and least-privilege access principles.

Agents created in the Microsoft 365 Copilot app are primarily designed for use within the Copilot Chat experience and related Copilot surfaces, not directly embedded inside individual applications like Word. Therefore, such agents are not automatically available in Microsoft Word, making Statement 1 incorrect.

However, these agents are designed for collaboration and reuse within an organization. Microsoft guidance confirms that agents can be shared with other users in the same tenant , allowing teams to leverage common tools, prompts, and knowledge sources. Hence, Statement 2 is correct.

For advanced automation scenarios involving complex workflows and third-party connectors, Microsoft provides Copilot Studio rather than the standard Copilot app. The Copilot app focuses on lightweight agent creation using natural language, files, and simple configurations. It does not support complex orchestration with external connectors. Therefore, Statement 3 is incorrect.

Thus, the correct answers are No, Yes, No .

When Microsoft 365 Copilot cannot access a referenced file, it may return a message indicating that the file is empty, corrupted, or cannot be processed. In many cases, this message appears when the user does not have sufficient permissions to open the file in SharePoint, OneDrive, or another Microsoft 365 location.

Copilot operates within the Microsoft Graph security boundary and strictly respects user permissions. If a saved prompt references File.docx but the user no longer has access to it—due to permission changes, file relocation, or removal—Copilot cannot retrieve the content for grounding. As a result, it cannot analyze or summarize the file and returns a processing-related error.

Not scheduling the prompt is unrelated to file processing. Running from a web or desktop app does not affect file readability. Using a different agent does not typically cause a file-format processing error.

Therefore, the most likely cause is that you do not have access to the file.

Effective prompting in Microsoft 365 Copilot requires two critical components: clear instructions and grounding in authoritative content. Microsoft guidance emphasizes that prompts should explicitly state the desired output format, tone, length, and purpose. In this case, specifying “a bulleted list of three to five concise, simply worded key points” represents concise instructions, making option B essential.

Additionally, grounding the response in a specific knowledge source—such as attaching or referencing the proposal document—ensures factual accuracy and reduces hallucination. Option D ensures Copilot uses the actual proposal content rather than relying on generalized model knowledge.

Profiles and stakeholder contact details are unrelated to summarization requirements. Therefore, the correct selections are B and D.

Microsoft 365 Copilot in Teams relies heavily on meeting transcripts to provide post-meeting intelligence such as summaries, key points, decisions, and action items. The transcript serves as the structured textual data that Copilot analyzes to understand what was discussed during the meeting.

The feature commonly referred to as recap or intelligent recap is generated based on this transcript. Without transcription enabled, Copilot lacks the necessary detailed conversation data to accurately reconstruct the meeting content. As a result, generating a recap of what was discussed is only possible when a transcript is available.

Other options such as scheduling a follow-up meeting or identifying attached content do not depend on transcription, as they rely on calendar data or meeting metadata rather than conversational analysis. However, summarization and recap capabilities are directly tied to the transcript.

Therefore, the correct completion is generate a recap of what was discussed during the meeting , as this action specifically requires the meeting to be transcribed.

This scenario is an example of fabrication, which is commonly referred to in generative AI contexts as a hallucination. Fabrication occurs when an AI system generates information that appears credible but is factually incorrect, invented, or unsupported by verifiable sources.

According to Microsoft AI Business Professional guidance, large language models predict text based on patterns learned during training. They do not “know” facts in the human sense. As a result, when asked to generate reports using web-based information, the model may produce plausible-sounding but fictional details if sufficient grounding or reliable sources are not provided.

Deepfake refers specifically to synthetic media such as manipulated images, audio, or video. Overreliance describes a human behavior risk where users trust AI outputs without verification. Prompt injection is a malicious technique designed to manipulate model behavior. Bias refers to systematic unfairness in outputs.

In this case, the presence of fictional information in the generated report directly aligns with fabrication, making option B the correct answer.

In Microsoft 365 Copilot, the Copilot Prompt Gallery is used to store and reuse prompts that have been created and tested. To save a prompt into the gallery, Copilot must first have the prompt as an executed interaction so it can be captured as a reusable prompt (often alongside the context and intended outcome). Microsoft guidance for prompt management emphasizes validating prompts by running them and reviewing the output, then saving the prompt for reuse once it produces the desired results.

Option D is therefore the correct first step: run the prompt . After execution, you can save it to the Prompt Gallery so it becomes easily discoverable and reusable for future project reports or for sharing within your organization (subject to policy).

Creating a notebook is useful for organizing reference materials across related conversations, but it is not required to publish a prompt to the gallery. Adding an agent is for creating specialized assistants with knowledge and capabilities, not for saving a single prompt. Creating a page is used to refine and collaborate on generated content, not to make a prompt available in the gallery.

Therefore, the first action is to run the prompt .
